Configuring the mail servers to archive

NOTE: The Exchange Server you select must have journaling turned on and have a mailbox configured as the journaling mailbox. The ‘Preparing Microsoft Exchange Server for use with GFI MailArchiver’ section of the ‘Installing GFI MailArchiver’ chapter shows you how to configure journaling on Microsoft Exchange.

If you installed GFI MailArchiver on the Microsoft Exchange server machine, and want to add the local Microsoft Exchange mail server in the configuration, follow these steps:

1. Load the GFI MailArchiver configuration as shown in the ‘Introduction to the Configuration’ section earlier in this chapter.

2. Click on the GFI MailArchiver > Configuration > Mail Servers to Archive node, in the left navigation pane.

3. Click Add Mail Server, to display the Mail Server Wizard.

4. On the first page, click Local Microsoft Exchange.

5. If you want GFI MailArchiver to collect and archive email from this mail server, select the Archive emails from this server check box.

6. Click Next to continue.

7. The wizard will list all the journaling mailboxes detected on Microsoft Exchange. Click on the journaling mailbox from where you want to collect and archive email.

8. Click Next to continue.

9. The default provider selected for use in such a scenario is the ExOLEDB provider. If you want to use this provider, click Next to continue and go to step 11. Otherwise, click IMAP and follow step 10.

10. The wizard will populate the required settings with good default values, so most probably all you need to specify is the password in the Password box. If you need to modify any other setting, for example, you connect to IMAP through a non-default port, the default IMAP port is 143, you can modify the relevant settings, in this case the value in the IMAP Port box. In the Mailbox \ folder box enter the name of the root folder in the mailbox, usually INBOX, or the full path to the public folder (for example, Public Folders/JournalFolder), that is being used for journaling on the Microsoft Exchange Server. Click Next to continue.

NOTE: Microsoft does not recommend using public folders as the journal recipient. More information is available in the following Microsoft Knowledge Base article, http://support.microsoft.com/?kbid=843105, question and answer section, question 6.

11. The Mail Server Wizard will try to connect to the mail server you selected through the provider and settings you configured. If the connection to the mail server succeeds, click Next to continue.

12. The wizard displays a summary of the settings you configured. To add the mail server and finish the wizard, click Finish.

13. GFI MailArchiver will list the new mail server in the table. Click Save Settings.

If you want to add a remote Microsoft Exchange mail server in the configuration, follow these steps:

1. Load the GFI MailArchiver configuration as shown in the ‘Introduction to the Configuration’ section earlier in this chapter.

2. Click on the GFI MailArchiver > Configuration > Mail Servers to Archive node, in the left navigation pane.

3. Click Add Mail Server, to display the Mail Server Wizard.

4. On the first page, click Remote Microsoft Exchange.

5. If you want GFI MailArchiver to collect and archive email from this mail server, select the Archive emails from this server check box.

6. Click Next to continue.

7. In the Server box, type the IP or machine name of the remote Microsoft Exchange server,

8. The wizard fills the IMAP Port box with the default IMAP port value of 143. If you connect IMAP through another port number, type it in the IMAP Port box.

9. Select the SSL check box if you are using IMAP through SSL.

10. Specify a login name and password for the journaling mailbox you want to access in the Login box and Password box respectively.

11. In the Mailbox \ folder box type the name of the root folder in the mailbox, usually INBOX, or the full path to the public folder (for example, Public Folders/JournalFolder), that is being used for journaling on the Microsoft Exchange Server. Click Next to continue.

12. The Mail Server Wizard will try to connect to the mail server you selected through the IMAP provider. If the connection to the Microsoft Exchange mail server succeeds, click Next to continue.

13. The wizard displays a summary of the settings you configured. To add the mail server and finish the wizard, click Finish.

14. GFI MailArchiver will list the new mail server in the table. Click Save Settings.

NOTE: When you choose to re-configure a Microsoft Exchange mail server, you cannot modify all the settings. For example you cannot change the journaling mailbox from where you want to collect and archive emails.

If you want to change the settings of a mail server, follow these steps:

1. Load the GFI MailArchiver configuration as shown in the ‘Introduction to the Configuration’ section earlier in this chapter.

2. Click on the GFI MailArchiver > Configuration > Mail Servers to Archive node, in the left navigation pane.

3. From the table, click the

button to the right of the mail server you want to re-configure, to display the Mail Server Wizard. Use the wizard as outlined in the earlier sections of this chapter that showed you how to configure a mail server. Select the appropriate section basing yourself on the type of mail server you are re-configuring.

4. When you finish and close the wizard, click Save Settings.

If you want to remove a mail server from the list, follow these steps:

1. Load the GFI MailArchiver configuration as shown in the ‘Introduction to the Configuration’ section earlier in this chapter.

2. Click on the GFI MailArchiver > Configuration > Mail Servers to Archive node, in the left navigation pane.

3. Click the

button to the right of the mail server you want to remove.

4. Click Save Settings.

If you want to enable / disable email collection and archiving from a mail server, for example, due to some maintenance, follow these steps:

1. Load the GFI MailArchiver configuration as shown in the ‘Introduction to the Configuration’ section earlier in this chapter.

2. Click on the GFI MailArchiver > Configuration > Mail Servers to Archive node, in the left navigation pane.

3. From the table, click the

button to the right of the mail server you want to modify, to display the Mail Server Wizard.

4. On the first page of the wizard select or clear the Archive emails from this server check box, to enable / disable email collection and archiving from the mail server respectively.
