Prerequisites for Mailbox Folder Structure Retrieval

Overview

By default, GFI Archiver does not automatically archive emails according to the folder structure in which within the source mailbox. To replicate the folder structure of the original mailboxes, enable the GFI Archiver Folder Structure Retrieval feature.

Important: The GFI Archiver Folder Structure Retrieval feature adds a computational and network access overhead to the archival process and may slow down your system.

 

Solution

For the Mailbox Folder Structure Retrieval feature to work, ensure that the configured user meets the following requirements:

Option Description
User Access

Ensure the Folder Structure Retrieval User has access to the users' mailboxes in the Microsoft Exchange Store. The access is required to retrieve the folder structure. Do not use an existing administrator account. Default deny permissions exist within Exchange, which makes it more challenging to use an admin account compared to a new user account. GFI Archiver can automatically create this account.

These permissions can be configured by Setting Correct Permissions for GFI Archiver Folder Structure Retrieval Use with Microsoft Exchange.

Logon Rights Assignment

The folder structure retrieval user needs to have login rights on the GFI Archiver machine.

  1. Sign in with administrator privileges to the computer from which you want to provide Log on as Service permission to accounts.

  2. Go to Administrative Tools, click Local Security Policy.

  3. Expand Local Policy, click User Rights Assignment. In the right pane, right-click Log on as a service and select Properties.

  4. Click Add User or Group option to add the new user.

  5. In the Select Users or Groups dialogue, find the user you wish to add and click OK.

  6. Click OK in the Log on as a service Properties to save the changes.

No roaming user profile

The user configured in the GFI Archiver Mailbox Synchronization configuration cannot use a roaming profile. Roaming profiles can be disabled on the machine via GPO.

  1. Open Group Policy Management.
  2. Navigate to: Computer Configuration\Administrative Templates\System\User Profiles.
  3. Enable “Only allow local user profiles” and “Prevent Roaming Profile Changes from propagating to the server” to disable roaming profiles on this machine or GPO.
Full Control rights

Ensure that the user configured in the GFI Archiver Mailbox Folder Structure Retrieval configuration has Full Control rights for the GFI Archiver Folder.

  1. Navigate to the installation directory (..\Program Files\GFI\Archiver\ by default)
  2. Right click on the Archiver Directory and go to Properties
  3. Select Security Tab
  4. Select Edit
  5. Select Add
  6. Enter the account being used for synchronization and click Check Names
  7. After the account is found Select OK
  8. Apply the changes and Select OK
  9. Close Properties
MAPI Client and Collaboration Data Objects [MAPI only]

In case, the GFI Archiver is not available on the same machine as Microsoft Exchange, installation Microsoft Outlook or Microsoft Exchange Server MAPI Client and Collaboration Data Objects (MAPI/CDO) is required.

No Read-only Archive Stores

Ensure that Archive Stores are not read-only. GFI Archiver needs to modify the Archive Store when an email is matched and assign it to the correct folder.

  1. Navigate to the Archive Console > Configuration > Archive Stores
  2. The status field will show a lock icon for any Archive Store in Read-only mode

  3. If any stores are in Read-only, select the Store and click Edit and un-check Read Only
  4. Select Finish
