How to clear the GFI MailEssentials Anti-Spam Public Folders automatically

PROBLEM

The amount of emails in the GFI MailEssentials Anti-Spam Processed Public Folders is increasing and these need to be deleted manually.

ENVIRONMENT

SOLUTION

It is possible to configure Microsoft Exchange to clear the Processed sub-folders automatically by configuring the Age limit on the contents of these folders. This can be done as follows:

Microsoft Exchange 2010:

  1. In the console tree, click Toolbox.
  2. In the result pane, click Public Folder Management Console, and then in the action pane, click Open Tool. The Public Folder Management Console appears.
  3. In the console tree, expand Default Public Folders, and then click the public folder that you want to configure. If the public folder you want to configure is a top-level public folder, click Default Public Folders.
  4. In the result pane, select the public folder for which you want to configure message size limits.
  5. In the action pane, under the public folder name, click Properties.
  6. In Processed Properties, click the Limits tab.
  7. Uncheck Use database age defaults
  8. In the Age limit for replicas (days) input box, enter the value in days that you want items to remain in the Processed folder.
Microsoft Exchange 2007:

 
Microsoft Exchange 2007 SP1 re-introduces the Age limit functionality on public folders. Proceed as follows:
 
  1. Open Microsoft Exchange Management Console
  2. Expand Toolbox -> Public Folder Management Console
  3. Expand Default Public Folders
  4. Locate and right click on one of the Processed Public Folders
  5. Select the Limits tab
  6. In the Age Limits section, disable Use Database age defaults'
  7. In the Age Limit for replicas (days) enter the number of days that you want to keep the mails for, example 1
  8. Click OK to apply the changes
  9. Repeat Step 4 to Step 8 for each Processed folder
 
Microsoft Exchange 2000/2003
 
  1. Open Microsoft Exchange System Manager
  2. Expand Administrative Groups
  3. Select the required administrative group -> Servers
  4. Click on the Server and then click on the required Storage Group
  5. Expand Public Folder Store
  6. Click on Public Folder Instances
  7. Locate and right click on one of the Processed -> Replica Properties
  8. Enable Age Limit of this folder on this public store (days);'
  9. Enter the number of days that you want to keep the mails for, example 10. Click OK to apply the changes
  10. Repeat Step 7 to Step 10 for each Processed folder
