Permission Status for Default User Role

The article details the permission status for the default user role.

Information

The Default Role is assigned automatically to users who have no role assigned to them. This process is carried out by GFI Archiver as new user mailboxes add. Before attaching the default role, GFI Archiver checks:

  1. If the user is assigned a Role.
  2. If the user is part of a group, that is assigned a Role.

If both steps are not confirmed, the Default Role is assigned automatically to users.

The Default Role is read-only and can neither be deleted nor modified. The Default Role has the following permissions set up:

View all Emails A user with this permission is allowed to view all emails in the accessible mailboxes.

DISABLED

Manage general configuration This permission grants access to the GFI Archiver configuration area.  DISABLED
Manage Auditing configuration Allows a user to change Auditing settings.  DISABLED
Manage access configuration Grants permission to configure group managers and user level access on specific mailboxes.  DISABLED
View Auditing Enables user to view audit reports in the Auditing tab. DISABLED
Connect using IMAP Allows a user to connect to GFI Archiver using IMAP.  ENABLED
Generate MailInsights Reports (All) A user with this permission can generate MailInsights reports for all GFI Archiver users. DISABLED
Generate MailInsights Reports (for Mailboxes defined in Access Control) Allows user to generate MailInsights reports for specific users defined in Access Control. DISABLED
Archive Assistant archive emails (to own mailbox) This permission enables users to use the Archive Assistant, to archive emails, from within Microsoft Outlook to their archive on GFI Archiver. ENABLED
Archive Assistant archive emails (to Mailboxes defined in Access Control) This permission enables users to use the Archive Assistant to archive emails from within Microsoft Outlook to specific mailboxes defined in Access Control. ENABLED
Archive Assistant archive files This permission enables users to use the Archive Assistant to archive files saved in Microsoft Outlook to their archive on GFI Archiver. ENABLED
Delete Emails (from own mailbox) A user with this permission is allowed to delete emails from his archive on GFI Archiver. ENABLED
Delete Emails A user with this permission is allowed to delete emails from other users' mailboxes defined in Access Control. ENABLED
Create/Assign Labels to Emails

Enables users to categorize emails and calendar items through labeling. This feature is useful during searches for specific types of archived items.

Rename folders

This permission enables users to rename the folders; from the GFI Archiver Web UI and IMAP.

NOTE

When using the Rename folders permission in conjunction with Folder Synchronization, you might experience some problems where the renamed folder reverts to its original name; This happens when the old folder still resides in Exchange.

DISABLED
File Archive Assistant archiving Ensure to enable this permission for users who need to archive files using the File Archive Assistant.  ENABLED

Note: For the Delete Emails (from own mailbox) and Delete Emails (from Mailboxes defined in Access Control) permissions, the user can delete emails only if Email Deletion is enabled.

Permissions can still be updated, but the delete functionality will not be available.
