How do the Archive Restriction modes affect archival and ownership? ( ONLY)

Answer

The Include/Exclude Mode set via Configuration > Archive Restrictions has an impact on which items get archived and to whom ownership is assigned to.

USING AN EXCLUSION LIST

NOTE: When Manual Archiving is configured, users in an exclusion list cannot manually archive items using GFI Archiver Archive Assistant if any of these options is enabled.

DO NOT archive item at all if ANY of the recipients or senders are in the restriction list
  • If any recipient or the sender of an email is on the list the email will get deleted and not archived
Archive item for users in your organization. Users in restriction list will not be able to view it
  • Users on this list will not be considered to be an owner
  • If 0 users are found when comparing recipients / sender of an email against users in AD / GFIDS and the restriction list, the email will get deleted and not archived
  • If GFI Archiver would assign 1+ owners to an email the email will get archived. The owner will be able to access it and a user with Full Access permissions can access it via All Users.

USING AN INCLUSION LIST

NOTE: When Manual Archiving is configured, all users in an inclusion list are able to manually archive items using GFI Archiver Archive Assistant if any of these options is enabled.

Always archive item if ANY of the recipients or senders are in the restriction list
  • If 0 users are found when comparing recipients / sender of an email against users in AD / GFIDS and the inclusion list, the email will get deleted and not archived
  • If at least 1 user is found when comparing recipients / sender of an email against users in AD / GFIDS and the inclusion list, the email will get archived
    • ​In this case ownership will get assigned to all users found, even if they are not on the restriction list, for example:
      • 3 users exist in AD / GFIDS: User1, User2 and User3
      • The include list contains 2 users: User1 and User2
      • User1 sends an email to User2
      • GFI Archiver will assign ownership to all 3 users: User1, User2 and User3
Only archive item if all recipients and senders are in the restriction list
  • Only if all recipients and the sender of an email are on the list it will get archived

NOTES

  • If an email was sent to or from a distribution group, GFI Archiver does compare members of the distribution group to items on the restriction list.
