Forwarding spam emails to the Microsoft Outlook Junk E-mail folder, without enabling the Junk mailbox feature in OWA

Answer

PROBLEM

Junk Mail is enabled in the Microsoft Exchange Transport but not in OWA as described in the knowledge base article KBID002097

ENVIRONMENT

  • GFI MailEssentials
  • Microsoft Exchange Server
  • All supported environments

SOLUTION

One of the actions that can be configured for each Anti-Spam module in GFI MailEssentials (when GFI MailEssentials is installed on the same machine as Microsoft Exchange Server) is Move to subfolder of user's mailbox. This will move the spam emails to a sub-folder in the users mailboxes. The folder that is specified for this feature can be the Junk E-mail Folder used by Microsoft Exchange 2003 and later. This can be done as follows:

  1. Open the GFI MailEssentials configuration > Anti-Spam > Anti-Spam Filters
  2. Click the node of one of the Anti-Spam features > Actions
  3. In the Actions tab, select the radio button next to In Exchange mailbox sub-folder
  4. Click on the Configure button and insert the following text in the Move to Exchange folder dialogue window: Junk E-mail
  5. Repeat the above steps for each of the GFI MailEssentials anti-spam features for which you want the blocked spam mails to be forwarded to the users Junk E-mail folder

Notes:

  • This procedure will work only if GFI MailEssentials is installed on the same machine as Microsoft Exchange server
  • The users Microsoft Exchange mailboxes need to be located on the same machine running GFI MailEssentials. Other mailboxes will take the action configured in the Global Actions which can be configured from the GFI MailEssentials configuration > Anti-Spam Filters > Anti-Spam Settings > Global Actions tab
  • The above procedure will not automatically enable Junk E-mail filtering in Outlook Web Access. If this is required, the feature needs to be enabled manually from OWA, as explained in https://www.gfi.com/support/products/gfi-mailessentials/Spam-is-not-being-moved-to-the-Junk-Mail-folder
  • The above procedure will not have any negative affects for users who already have the Junk E-mail filtering enabled in OWA
