Configuring Archiving Method in GFI Archiver

Overview

GFI Archiver offers different archiving options. Depending on your infrastructure and organization objectives, you can use the Archiving Method to define how GFI Archiver collects items for storage in the archive stores.

To include or exclude specific mailboxes from archiving, learn about Archive Restrictions.

IMPORTANT: Items are not archived if an Archiving Method is not configured.

 

Solution

Follow these steps to configure an Archiving Method in GFI Archiver:

  1. Open GFI Archiver admin interface.
  2. Go to the Configuration tab.
  3. Select Archive Sources. 
  4. Click Archiving Method.
  5. Click Configure Archiving Method.
  6. From the Archiving Method Wizard page, choose the preferred method from available Archiving Methods and Click Save.
    • More than one method of archiving can be chosen at a time.
    • For example, users can enable Manual Archiving and Auto-Archiving (Journaling) for All Emails at the same time.

Archiving Methods

Refer to the table below to learn more about each method: 

Method

Description
Manual Archiving
  • This archiving method does not require Microsoft® Exchange. Any business using Microsoft® Outlook can manually archive emails irrespective of where their email is hosted. Choose this option when you want to:

    • Enable users to manually select which emails to archive from their Microsoft Outlook® applications using the Archive Assistant Feature.
      • Users are also able to define a folder structure when manually archiving their emails to facilitate searches. 

    • Import items automatically from users' mailboxes using the Archive Assistant with automatic import settings.
      • In this type of deployment, GFI Archiver does not connect to the mail server and retrieves items for archiving directly from client computers by Importing Emails and Calendar Items.
Auto-Archiving (Journaling)
  • When selected, GFI Archiver automatically connects to a configured mail server, downloads the items stored in the journaling mailbox and stores them in Archive Stores

  • If Auto-Archiving (Journaling) is selected, you must then choose one of the following options:
    • All Emails: Choose this option to archive all items downloaded from the journaling mailbox.
    • Rule-Based Archiving: Archive only specific items downloaded from the journaling mailbox. When this option is selected, you need to configure archiving rules that determine which items get archived and which are ignored. 
    • IMPORTANT: When Rule-Based Archiving is selected you need to configure Archiving Rules for GFI Archiver to start archiving. 

 

Testing

 

After choosing how the system will go about archiving mail in your environment, as long as the archive stores have been configured, attempt to archive mail.

  • If using Manual archiving, use one of the tools mentioned above to manually select a mail for archival.
  • If you are using Journaling, send an email (within any parameters you may have set for Rules if this option was selected), log in to the Journal mailbox, via Outlook Web Access for example and verify if it is removed from the Journal mailbox. If mail is being removed from the Journal this is an indication mail is archiving. 

If the mail is archived you will be able to find it by launching the Archiver Console > Archive Tab shortly after it's archival once it has been indexed.
