The GFI Archive Assistant does not auto-import items older than 12 months if Microsoft Outlook 2013's Cached Exchange Mode is used

Answer

PROBLEM

The GFI Archive Assistant does not auto-import items older than 12 months although the import settings for the GFI Archive Assistant are not configured in a way that would limit the import in this way.

For example:
  1. Today is 2013-12-31
  2. UserA has 1000 items in their emails
  3. 250 of these emails are from the year 2013
  4. The remaining 750 are from the year 2012 or older
  5. The GFI Archive Assistant would only archive the 250 emails from the year 2013 and no older emails

ENVIRONMENT
  • GFI Archiver
  • GFI Archive Assistant
  • Microsoft Outlook 2013 with Cached Exchange Mode being used

SOLUTION

Option 1

Configure Microsoft Outlook's Cached Exchange Mode to cache the desired time range of items.

For example, if it is desired to archive
  • items of the last 24 months, set Cached Exchange Mode's Mail to keep offline setting to 24 months.
  • all items, set Cached Exchange Mode's Mail to keep offline setting to All.
Please refer to Microsoft for further documentation about this feature: http://technet.microsoft.com/en-us/library/cc179175(v=office.15).aspx

Option 2

Disable Microsoft Outlook's Cached Exchange Mode.

CAUSE

The Cached Exchange Mode of Microsoft Outlook 2013 allows to configure a time range to control which items are cached locally. The default time range for this feature is 12 months. The GFI Archive Assistant requires items to be cached within Microsoft Outlook if the Cached Exchange Mode feature is enabled.
