How to configure journaling for non-Exchange mail servers

This article describes from a high-level view what configuration steps need to be taken in order to archive emails via a journal mailbox in non-Exchange environments.

This process involves:
  1. Ensure that all user's email addresses are populated in Microsoft Active Directory or GFI Directory
    • For Microsoft Active Directory please populate the following attributes for the user objects: mail, proxyAddresses and displayName
  2. Create a journal mailbox
    • Create a mailbox in the mail system or on a 3rd party system - it will act as the journal mailbox (a mailbox which holds a copy of every email which is sent or received)
    • This mailbox must be accessible via the IMAP4 protocol
  3. Configure a journaling / forwarding rule
    • Create a journaling or forwarding rule in your mail server that will forward a copy of every email which is sent or received for every user to the journaling mailbox created in the previous step
  4. Configure a new data source entry under Configuration > Mail Servers to Archive in GFI Archiver
    • GFI Archiver will download, delete and archive emails forwarded to the journal mailbox
  5. Test the setup
    • Test the whole system by sending emails and confirming that they are getting archived as desired
